How Much Time Is Your Business Losing to Manual Processes?

If your team is still copying information between spreadsheets, emails and different systems, it might be costing your business more than you realise.

It’s something we see across many business processes: a customer submits an enquiry, someone enters the details into a spreadsheet, another person updates the CRM, and later somebody else has to pull the information together for a report.

Individually, these tasks don’t seem like a big deal. But when they happen every day, across several people and departments, the hours start to add up.

And it’s not just about time. Manual processes can lead to duplicate records, missed follow-ups, avoidable mistakes and delays that frustrate both employees and customers.

So, is there a better way to do things?

What do the numbers tell us?

There are some interesting figures from Ireland that put the issue into perspective.

According to the Central Statistics Office (CSO), in its Information Society Statistics – Enterprises 2025 report, published in February 2026:

34.7% of Irish enterprises used ERP software.

28.4% used customer relationship management (CRM) software.

26.5% used business intelligence software.

20.2% used AI in 2025, compared with 8.1% in 2023.

Just 7.8% used AI for business administrative processes.

These figures don’t tell the whole story, and using a particular system doesn’t automatically make a business more efficient. But they do highlight an opportunity for companies to look more closely at how they’re using technology in their everyday operations.

The question is whether your existing systems are actually making life easier for your team — or creating more work than they should.

Where does the time go?

Let’s take a few common examples.

Customer enquiries

Details arrive through email, website forms and phone calls. Someone has to transfer the information into a CRM, assign follow-ups and make sure nothing gets missed.

Invoice processing

Invoices arrive in different formats, details need to be checked, approvals have to be chased and information is entered into accounting software.

Reporting

Sales, finance and operations each have their own spreadsheets. When management needs an overview, someone has to bring everything together, check the figures and prepare the report.

None of this is unusual. Most businesses have some manual work that needs doing.

The problem starts when people spend a significant part of their week moving information around rather than using it.

Let’s put a cost on it

Imagine you have ten employees who each spend just 30 minutes a day on repetitive data entry, updating systems and preparing routine reports.

Over 220 working days, that’s 1,100 hours a year.

At an illustrative employment cost of €30 per hour, those hours represent €33,000 worth of staff time annually.

This is an example, not a claim about what every business loses or what automation would save. The real figure depends on salaries, overheads and how much of the work can realistically be reduced.

Some tasks will always need human input. Others may be simplified or automated, freeing people up to focus on work that needs their experience and judgement.

It’s worth finding out which is which.

Automation doesn’t have to mean introducing complicated AI

There’s a tendency to jump straight to AI whenever business automation comes up. In reality, the best solution depends on the problem.

If your team is entering the same information into two systems, a straightforward integration might be all you need.

If employees spend hours extracting information from invoices or other documents, automated data capture could help, with checks in place for anything that doesn’t look right.

If reports take too long to prepare because information is scattered across different platforms, connecting those data sources might be a better starting point.

AI has its place, particularly when dealing with unstructured information or classifying incoming requests. But it isn’t always necessary, and it shouldn’t be added simply because it’s popular.

The aim is to make a process work better, not to make it more complicated.

Where Dilantix comes in

At Dilantix, we work with software development, AI and automation solutions that can help businesses address these kinds of challenges.

Depending on the situation, that might mean connecting existing systems, automating repetitive tasks, improving the way information moves through a business or exploring where AI could be useful.

Every business is different. Before recommending a solution, it’s important to understand how the process works today, which systems are involved and where the biggest problems occur.

Sometimes a relatively small change can make a meaningful difference. Other situations need a more involved approach.

Either way, it’s better to start with the problem than with the technology.

Where should you start?

If you suspect your business is spending too much time on manual work, pick one process and look at it honestly.

How often is the task repeated? How long does it take? How many people are involved? Where do errors or delays tend to happen?

You might discover that a process you’ve accepted as normal is taking up far more time than it should.

And you don’t need to overhaul the entire business to do something about it. Start with one area, establish what improvement would look like and work from there.

At Dilantix, we’re interested in helping businesses find practical ways to make technology work harder for them.

If your team is spending too much time on repetitive admin, moving data between systems or putting reports together manually, we’d be happy to discuss what could be improved.
